Preparing for Your Wedding Performance: A Pianist's Checklist

Hello! I’m thrilled that you’re considering me to be a part of your special day. As a professional wedding and events pianist, I take great pride in ensuring that every performance is flawless and memorable. Preparing for a wedding performance is a meticulous process, and I'd like to share with you how I go about it.

Here’s my comprehensive checklist to ensure everything goes perfectly on your big day.

Initial Consultation

Understanding Your Vision

The first step is to have a detailed discussion with you via email or phone if preferred. During this consultation, we’ll talk about your vision for the ceremony and reception, your preferred musical styles, and any specific songs you’d like to be played. This helps me tailor my performance to suit your unique tastes and the overall theme of your wedding.

Venue Discussion

I make it a point to speak with the venue staff over the phone well in advance, or visit the venue in person if possible. This allows me to get a feel for the acoustics, decide on the best placement for the piano, and understand any logistical considerations. If they have any quirky acoustics or unexpected challenges, I'll know about them in advance and plan accordingly.

Repertoire Selection

Song Choices

Once I have a clear understanding of your preferences, and when I know which parts of the wedding I'll be playing for, I’ll create a customized playlist. For ceremonies, this typically includes:

  • Prelude Music: To welcome guests as they arrive.

  • Processional Music: For the walk down the aisle.

  • Signing of the Register: Often a time for some reflective music.

  • Recessional Music: To celebrate your first moments as a married couple.

If I am asked to play for the drinks reception and/or the wedding breakfast, I'll also plan a playlist which offers a lovely background ambiance for socialising and eating.

Special Requests

Special requests are where the magic truly happens! I spend many hours crafting the perfect arrangement for each special piece, whether it's sourcing sheet music or coming up with my own unique version. I’m always happy to accommodate these, whether it’s a song that has a particular significance to you or a piece you’ve always dreamed of walking down the aisle to.

Preparation and Practice

Arranging and Rehearsing

Once the playlist is finalized, I dive into practice, ensuring each piece is perfected. For any special requests or custom arrangements, I make sure they are polished and ready well in advance. This involves many late-night practice sessions and countless cups of coffee, all to ensure I’m fully prepared.

Backup Plans

Because weddings can be as unpredictable as the British weather, I always prepare a few backup pieces. Whether there's a change in the schedule or an unexpected delay, I’m ready to keep the music flowing seamlessly.

Technical Considerations

Equipment Check

Before the event, I thoroughly check all my equipment. This includes my keyboard (if a piano is not available at the venue), amplification system, and any necessary accessories. I also bring backup equipment to cover any unforeseen technical issues. Ever seen a pianist scramble for an extra power cable? Not on my watch!

Sound Check

On the day of the wedding, I arrive early to set up and perform a sound check. This ensures that the volume levels are perfect and the sound quality is optimal for the space. You wouldn't want your vows drowned out by a piano, nor the music to be so quiet that only the front row hears it!

The Day Of The Wedding

Arrival and Setup

I always aim to arrive at least an hour before I'm due to start playing. This gives me ample time to set up, conduct a final sound check, and address any last-minute details. Whether it's dealing with unexpected rain or a sudden change in the layout, I'm there early to adapt and ensure everything goes smoothly.

Performance

Throughout the event, I stay attuned to the flow of the day, ready to adjust the music to match the atmosphere. Whether it's a romantic ballad for a quiet moment or an upbeat tune to celebrate, I ensure that the music enhances every part of your wedding. Sometimes I'll sneak in a couple of impromptu requests from enthusiastic guests without missing a beat!

Post-Event

After the event, I quickly and discreetly pack up my equipment, ensuring that my departure is smooth and unobtrusive. The last thing you need is a pianist stealing the limelight during the speeches!

Final Thoughts

I believe that music is a vital part of any wedding, creating unforgettable moments and adding a touch of magic to the day. By carefully preparing and personalizing every aspect of my performance, I strive to provide a seamless and enchanting musical experience for you and your guests.
